Build an accounts-payable invoice register in Notion. This pack gives you the published starter-pack fields, statuses, duplicate key, exceptions, roles, audit events, ten fictional rows, formula recipes, and saved views. Keeping the same names makes later migrations easier.

It is a status tracker for bills you received. It is not a sales-invoice document you send to a customer.

How to use it

1. Download the ZIP and read docs/setup-guide.md.
2. In Notion, use Settings → Import → CSV or Merge with CSV. Official help: Import data into Notion.
3. Rebuild the six formula properties from docs/formulas.md.
4. Confirm duplicate_key on INV-TR-0001 and INV-TR-0002 is ridgemont industrial supply co|inv-tp-2401.
5. Create views for pending approval, exceptions, overdue, approved unposted, and duplicates.
6. Keep posted_ref and paid_ref empty until a person confirms those actions outside Notion.

Limits

• This file is a setup and spec pack. It is not a live duplicable Notion template and not a Marketplace listing.
• This pack does not extract structured invoice fields from PDFs, create an accounting draft, certify approval, or send payment by itself.
• Lock database and Can edit content are not security controls. Anyone with edit access can toggle the lock.
• Version history is plan-dependent: 7 days on Free, 30 days on Plus, 90 days on Business, unlimited on Enterprise.
• Automations are optional and out of v1 financial writes.

All buyers, suppliers, people, GST/HST numbers, and destination ids are fictional.

When the register is no longer enough

If invoices arrive through more than one channel, if approval needs a protected audit trail, or if an approved row must create an accounting draft without retyping, scope an AI Automation System. If several document workflows compete, start with an AI Success Audit.
