Flowgrammer

Invoice and document automation

Turn invoices and documents into reviewed records: 43 edited templates, Canadian checks and downloadable kits for 14 businesses.

Get the document into a reviewable record

An invoice arrives by email. Someone rekeys it, finds a missing field, chases the sender and checks whether another person has already entered it. A useful automation carries the original, extracted fields and approval decision together, so the reviewer can see what is ready and what still needs work.

Flowgrammer builds AI automation systems for established business teams. This collection turns document research into 43 edited templates across 14 businesses, plus two Canadian records checklists. You can inspect the field maps, copy extraction instructions and compare approval steps before commissioning a connection to your systems. None has been tested on real documents.

Choose the document and the business

Design the review before choosing the OCR

Keep the original and its reference. Extract candidate values with page evidence. Apply document-specific checks, duplicate handling and an assigned approval owner. Connect the approved result to a destination through a separately tested adapter. An OCR model’s confidence score is not permission to pay, sign or file.

The kits replace blanket signature requirements and automatic CAD defaults from the research starters. A receipt does not need the same fields as a signed contract. A missing currency stays unresolved, and a changed document invalidates approval of an earlier version.

Build Canadian checks into the right stage

Compare tools on the whole workflow

Azure Document Intelligence offers an invoice extraction model. Hubdoc and Dext are accounting capture options. n8n, Make and existing business systems can coordinate steps; check exact destination operations and permissions before promising a connection. The n8n QuickBooks node reference is a useful operation-level check, not proof that a proposed draft-bill operation exists.

Pricing check, October 15, 2026: Hubdoc’s standalone page displays US$12 monthly after its trial. PandaDoc’s pricing page was readable on this pass: Starter US$19 per month and Business US$49 per seat per month, billed annually; API/automation usage can carry separate credits or add-ons. Dext and Make’s plan amounts were not reliably exposed, so no dollar figure is assumed for them. Confirm currency, document/page limits, seats, API access, review effort and retention/export costs before purchase.

The vendor scorecard and IDP worksheet help compare the full requirement. These task designs do not establish that nobody else has built a Canadian workflow; the supplied research’s library searches are dated observations.

Test one document family before scaling

Use synthetic or approved redacted examples, including a missing field, duplicate and changed version. Check the extraction against the original, the approval against its exact version and the destination write against its returned record ID. Record correction time and exceptions from your own test; this collection makes no accuracy or savings claim.

Download all business kits, or bring one recurring document and its reviewer to plan your document workflow. See AI automation systems for the delivery approach after scope is agreed.

Frequently asked questions

Are these tested document automation workflows?

These are reviewed designs, prompts and field maps. They have not been tested on real documents or connected to your business accounts. Start with synthetic examples and then an approved test set.

Can the workflow post, pay or send automatically?

The designs separate extraction from approval. A destination write needs an authorized adapter and approval of the current document version. Payments, signatures and filings remain separate actions.

How should we choose a tool?

Check the document layouts, required fields, review workload, data locations, export and deletion controls, destination permissions and total operating cost. A headline subscription price does not establish fit.

What should I bring to a Flowgrammer call?

Bring the recurring document type, a redacted example, the destination system and the person who approves it. We will define the first acceptance test and scope the required connections.
