Import an accounts-payable invoice register into Google Sheets. This workbook gives you the published starter-pack fields, statuses, duplicate key, exceptions, roles, audit events, ten fictional rows, and a dashboard. Keeping the same names makes later migrations easier.

It is a status tracker for bills you received. It is not a sales-invoice document you send to a customer.

How to use it

1. Download the ZIP and open the XLSX.
2. In Google Sheets, use File > Import. Official help: Use both Excel & Sheets.
3. Keep Instructions!B4 at 2026-09-08 while you walk the sample.
4. Confirm duplicate_key on INV-TR-0001 and INV-TR-0002 is ridgemont industrial supply co|inv-tp-2401.
5. Create filter views for pending approval, exceptions, overdue, approved unposted, and duplicates.
6. Keep posted_ref and paid_ref empty until a person confirms those actions outside Sheets.

Limits

• This file is an XLSX twin. It is not a live native Google Sheet and not a Template Gallery listing.
• Sheets does not extract invoice fields from PDFs.
• Sheets does not create a QuickBooks or Xero draft.
• Sheets is not a certified AP approval product.
• Sheets does not pay anyone.
• Protected ranges are not a security control. Google says people can print, copy, paste, import, and export a protected spreadsheet.
• Apps Script is optional and out of v1 financial writes.

All buyers, suppliers, people, GST/HST numbers, and destination ids are fictional.

When the register is no longer enough

If invoices arrive through more than one channel, if approval needs a protected audit trail, or if an approved row must create an accounting draft without retyping, scope an AI Automation System. If several document workflows compete, start with an AI Success Audit.
