Start with missing timesheets
Automate a small preparation task before proposing a payroll connection. A manager needs to know which approved team submissions are missing. That reminder can use an internal reference and a restricted payroll-system link, without copying a register or SIN into an automation log.
Make is a useful candidate for a simple reminder if its required source operation is available. n8n is worth considering when the preparation rules need maintained code or a controlled Canadian runtime. Neither recommendation is permission to upload payroll records.
Keep the pay run inside the payroll process
Flowgrammer’s starting design keeps SINs, banking data and raw payroll registers out of both cloud tools. This is a minimisation policy for the proposed workflow, not a claim that every cross-border payroll process is unlawful. PIPEDA guidance requires accountable handling of processors where it applies.
A source-system check can return a restricted exception status for the authorised payroll reviewer. Employee references and exception statuses may still be personal information. Compare reminder usage
Example, assumptions shown: four weekly runs, one source lookup per run and one notification for each of 75 missing submissions. That is 4 × (1 + 75) = 304 ordinary Make actions, before other modules and polling. A single scheduled n8n workflow starts four times before retries. This is an illustrative worst-case reminder count, not a measured workload or an account price.
Test the exception path
Use synthetic internal references, including one duplicated submission, one missing approval and a disconnected source. The reviewer should receive a clear incomplete status when the source fails. A failed read must never become an all-clear message. Confirm the notification body, logs and retained payloads contain no SIN or banking data.
