n8n or Make for CPA firm onboarding?
Compare Make and n8n for CPA firm onboarding, engagement controls and Canadian records. Keep tax-season reminders in the existing workflow guides.
Not legal or tax advice. Confirm obligations, permissions and record locations for your firm.
Choose for firm-wide onboarding
A signed engagement should lead to a reviewed client record, the right owner and a clear request list. This page compares the tool for that handoff. The accountant workflow library covers individual build references.
Make is a sensible first candidate when the firm already uses supported signature, email and folder apps and wants no server to maintain. n8n becomes a candidate when service lines need different access rules or the firm has a justified Canadian hosting requirement. Keep the signed document in the approved records system.
Make the engagement the start condition
Record the signed agreement reference and version, approved service scope and responsible partner. A missing signature or uncertain scope goes back to the administrator. Avoid copying the full agreement into every notification.
Prepare the folder, request checklist and internal tasks as a proposed onboarding package. The administrator confirms the client identity and recipient before an authorised send. A webhook replay must resolve to the same engagement and destination record rather than creating another client.
| Decision, reviewed 17 October 2026 | Make candidate | n8n candidate |
|---|---|---|
| A short handoff between already connected apps | Check the exact signature trigger and folder action | Check the same operations; compare implementation work |
| Many service-line rules | Test filters and branch maintenance | Test explicit code or branches; maintainable logic matters more than node count |
| Canadian workflow storage | US/EU organisation region | Canadian self-hosting possible; audit every connected service |
Keep the records decision separate
CRA’s rule concerns retained records and written permission to hold them elsewhere. A hosted reminder queue and an authoritative engagement archive have different purposes. Map both. PIPEDA accountability still matters when client data reaches a processor. This is planning information, not legal or tax advice.
Acceptance test for the first client
Use a synthetic engagement with a duplicate event and two clients who share a surname. Expect one reviewed onboarding package tied to the correct client ID. Revoke a connection and confirm the administrator receives an exception instead of a false completion.
Do not infer authority to access CRA portals from a workflow connection. Filing and representation remain in the authorised professional process. We have not tested a CRA connection or Canadian QuickBooks company here.

Frequently asked questions
Does this automate tax filing?
No filing process was built or tested here. This comparison covers reviewed onboarding; authorised staff retain filing and representation responsibilities.
Do all CPA firms need self-hosted n8n?
No. Establish which records the workflow holds, the applicable obligations and connected-service locations. An approved native process may be enough.
How is this different from the tax-preparer page?
This page concerns ongoing firm-wide onboarding controls. The tax-preparer page compares seasonal booking and credit allocation.
