Dropbox Approval Folder / Decision Log Template
Editable Dropbox DecisionEvidence log with folder naming and seven fictional cases. Not Dropbox Sign. Not a Marketplace listing.

The Dropbox Approval Folder / Decision Log Template is an editable DecisionEvidence workbook and CSV pack you use when Dropbox holds the file. It implements the published document approval model. It is an operational log, not legal advice, not a native ordinary-file Approvals product, not Dropbox Sign, not DocSend identity proof, not IDP, not a contract register, and not a Marketplace listing.
A named person still records approve, reject, or request-changes. Comments, activity, version history, shared links, and folder moves are not approval evidence. File request is intake only. Reminders never auto-approve, auto-renew, or auto-terminate. Packaged samples stay on Config as_of. Tenant- or plan-dependent behavior is needs_live_proof. No live Dropbox folder was created.
What you get
- Folder naming for Intake, In Review, Approved, and Rejected, plus Changes-Requested and Exceptions
- A DecisionEvidence field list with request_id, doc_id, Dropbox file id, rev, optional content_hash, path, requester, approver, decision, decided_at, rationale, and next_action
- Parent closed statuses 1:1 plus Dropbox overlay statuses for access and exceptions
- Seven fictional Cedar & Quay cases: clean approve, request changes plus new rev, unauthorized approver, stale rev or hash, shared-link denial, timeout or escalation, and duplicate or idempotent callback
- Notify-only reminder design. Never change status. Not a tenant export
Do not treat a comment as approve. Do not treat Sign complete as internal approval. Do not treat DocSend analytics as identity. Do not auto-approve from timeout. Do not claim a Marketplace listing.
How to start
- Read Setup and acknowledge the comments-versus-evidence, Sign, DocSend, file-request, and no-Marketplace caveats.
- Create the folders, or import
csv/decision-evidence-import.csv. - Leave Config
as_of_dateat 8 September 2026 while you walk Case01 through Case07. - Confirm case 3 stays out of Approved and case 7 does not write a second time.
- Read the paired guide: Dropbox Document Approval Workflow.
- Keep the parent Document Approval Workflow and Document Approval Status and Role Matrix nearby for the shared model.
- Use Document Processing Automation if you still need to choose a first workflow. Use invoice processing automation, intelligent document processing, or the contract tracker only when those jobs are the actual problem.
